As we approach the giving season, nonprofits gear up for their most critical fundraising push of the year. This post is about how I use Generative AI tools such as ChatGPT and Claude to help plan and execute end-of-year giving campaigns and how you can do the same.

Each of the six use cases tells you what you can accomplish and what you need to upload to the AI platform to create relevance and context for the response. I also offer a sample prompt for each task, so if you are entirely new to this, you have something to try.

1. Create a  Solid Campaign Timeline

AI is an excellent resource to build your campaign timeline. To make it work, take the following steps:

Build your instructions (the prompt). Include your starting date for planning, key dates, and milestones (like Giving Tuesday and when you close your campaign in January) in the prompt. Ask AI to create a week-to-week action plan, complete with task assignments and deadlines.

Sample Prompt for AI Timeline Creation:

Create a detailed timeline for our nonprofit’s end-of-year fundraising campaign. Here are the key details:

  • Campaign planning starts: October 1, 2024
  • Campaign launch: December 1, 2024
  • Giving Tuesday: December 3, 2024
  • Year-end push: December 26-31, 2024
  • Campaign close: January 5, 2025

Please generate a week-by-week action plan from October 1 to January 5, including the following elements:

  1. Tasks for each week
  2. Suggested deadlines for each task
  3. General categories of team members responsible (e.g., Marketing, Development, Executive Director)
  4. Important milestones or checkpoints

Include content creation, email scheduling, social media planning, donor outreach, and post-campaign analysis—factor in time for reviewing and approving campaign materials.

Please present this timeline in an easy-to-read format, with weeks clearly labeled and tasks bulleted under each week.

2. Use AI to Create Case for Support Stories

In a new chat, upload information about your impact, programs, and clients. Use PDFs of reports or links to documents in your drive. Ask AI to create 3-5 case studies based on this work, each highlighting a different aspect of your organization’s impact. Refine the headlines and email subject lines with your AI tool.

Edit, review, and check so that your nonprofit and your original voice take the lead in these stories.

Sample Prompt for AI Case Study Creation:

Using the information I’ve provided about our nonprofit’s programs, impact, and beneficiaries, please create three compelling case studies for our end-of-year fundraising campaign. For each case study:

  1. Focus on a different aspect of our organization’s impact (e.g., individual beneficiary story, community-wide change, long-term program results).
  2. Include a brief background of the situation or challenge.
  3. Describe our nonprofit’s intervention or support.
  4. Highlight the specific outcomes and impact of our work.
  5. Include a brief quote that captures the emotional essence of the story (you can create a hypothetical quote based on the context).
  6. Suggest a headline and email subject line for each case study.

Each case study should be about 250-300 words long. Please use an empathetic, inspiring tone that aligns with our mission of [insert your mission statement or key values here].

After generating the case studies, please provide 2-3 alternative headlines and email subject lines for each, focusing on emotional appeal and the unique aspects of each story.

3. Personalize Donor Email Outreach Efficiently

Get ready to use AI with donor segmentation by identifying the donor segments you want to reach, such as previous major donors, previous individual contributors at different levels, lapsed major and individual donors, and new donors (perhaps taken from an event attendance list or another type of sign-up sheet).

Then, work with the AI to craft tailored email templates for each segment that speak directly to their motivations.

Sample Prompt for AI-Assisted Personalized Donor Outreach:

Please help me create personalized email templates for our end-of-year fundraising campaign. We have identified the following donor segments:

  1. Previous major donors (gifts of $5,000 or more)
  2. Regular individual contributors ($100-$1,000 annually)
  3. Lapsed donors (haven’t given in the last two years)
  4. New potential donors (from recent opt-in event attendees)

For each segment, create an email template that includes:

  1. A compelling subject line
  2. An opening paragraph that acknowledges their specific relationship with our organization
  3. A brief update on our recent impactful work, tailored to what might resonate most with each segment
  4. A clear ask, with suggested donation amounts appropriate for the segment
  5. A description of the impact their donation will have
  6. A strong call-to-action

Please ensure each email:

  • Has a warm, appreciative tone
  • Is concise (aim for about 200-250 words)
  • Includes personalization options (e.g., [DONOR_NAME], [LAST_GIFT_AMOUNT], [LAST_GIFT_DATE])
  • Reflects our organization’s mission of [insert your mission statement]

After creating the templates, please suggest 2-3 alternative subject lines for each segment that we could A/B test.

Lastly, briefly explain why each template is tailored to its specific segment, highlighting the psychological or motivational factors you’ve considered.

4. Create a Content Calendar You Can Easily Update

You can also use AI to design the content for your campaign. Again, start by uploading key messaging, goals, impact reports, and case studies as PDFs or links from your drive so the AI has contextual materials to work with.

Then, in the chat box, ask the AI to generate the first two week’s worth of social media posts, email topics, and blog ideas. Review and revise before adding to your content calendar and scheduling.

As Giving Season continues, update the materials and the goals and generate new content to support your campaign.

Sample Prompt for AI-Assisted Content Calendar Creation:

Based on the campaign information, impact reports, and case studies I’ve provided, please help me create a content calendar for the first two weeks of our end-of-year fundraising campaign. The campaign starts on December 1, 2024, and Giving Tuesday is on December 3, 2024. Please include:

  1. Social Media Posts:
    • Three posts per week for each platform: Facebook, Instagram, Threads, and LinkedIn
    • Include suggested copy, hashtags, and ideas for visuals
    • Vary content between impact stories, donation asks, thank yous, and campaign updates
  2. Email Topics:
    • Two email ideas per week
    • Include subject line suggestions and a brief outline of the content for each email
  3. Blog Post Ideas:
    • One blog post idea per week
    • Include a suggested title and a brief outline (3-5 bullet points) for each post

For all content:

  • Align with our campaign theme: [Insert your campaign theme or tagline]
  • Incorporate our key messages: [List 2-3 key messages]
  • Ensure a mix of emotional appeal and factual impact data
  • Include clear calls-to-action, varying between donating, sharing, and engaging with our content

Please organize this content calendar in a clear, day-by-day format, noting which pieces of content should be posted/sent on which days.

Lastly, provide 2-3 ideas for how we can repurpose or adapt this content for the following weeks of the campaign to maintain consistency while keeping the content fresh.

5. Optimize Your Donation Page for Conversions

Share a PDF of your donation page in a new chat box and ask AI to analyze it. Share that feedback, and then suggest improvements for clarity and persuasiveness. If you’d like more options, you can ask for different approaches and executions.

Sample Prompt for AI-Assisted Donation Page Optimization:

I’ve uploaded a PDF of our current donation page. Please analyze it and provide feedback on optimizing it for better conversion rates. In your analysis and recommendations, please consider the following aspects:

  1. Content and Messaging:
    • Evaluate the clarity and persuasiveness of our value proposition
    • Assess the effectiveness of our impact statements or statistics
    • Suggest improvements for more compelling and action-oriented copy
  2. Call-to-Action (CTA):
    • Analyze the placement, design, and wording of our donation buttons
    • Suggest ways to make the CTA more prominent and persuasive
  3. Donation Options:
    • Evaluate our current donation amount options
    • Suggest improvements for presenting donation options (e.g., preset amounts, recurring donations, etc.)
  4. Trust and Credibility:
    • Assess how well we’re communicating trust and credibility
    • Suggest ways to enhance trust signals (e.g., security badges, testimonials, impact stories)

After your analysis, please provide the following:

  1. A prioritized list of 5-7 specific, actionable recommendations for improving our donation page
  2. 2-3 alternative versions of our main donation page headline
  3. 2-3 alternative wordings for our primary donation button

Please ensure all suggestions align with nonprofit best practices and our organization’s mission of [insert your mission statement here].

6. Automate Personalized Thank-Yous

That moment after someone donates is special. AI can help you respond quickly during a busy time.  Build a ChaptGPT custom GPT or a Claude Project to promptly generate personalized thank-you emails for each of your anticipated donor segments. (Include your donor segments in the persistent, saved upload data).

Then, for a specific response in the chat box, include details about a new gift and its impact based on the donation amount and the donor role (new donor, returning donor, returning lapsed donor, etc.).

Sample Prompt for AI-Assisted Personalized Thank-You Messages:

Please help me create personalized thank-you email templates for our end-of-year fundraising campaign donors. We have the following donor segments:

  1. New donors
  2. Recurring donors
  3. Returning one-time donors
  4. Upgraded donors (increased their gift amount)
  5. Major donors ($5,000+)

For each segment, create a thank-you email template that includes:

  1. A warm, sincere opening expressing gratitude
  2. Acknowledgment of their specific contribution or donor status
  3. A brief, particular example of the impact their donation will have
  4. Information on how they can stay connected with our organization
  5. A forward-looking statement about our mission and their role in it

Please ensure each email:

  • Has a heartfelt, appreciative tone
  • Is concise (aim for about 150-200 words)
  • Includes personalization options (e.g., [DONOR_NAME], [DONATION_AMOUNT], [SPECIFIC_PROGRAM] if applicable)
  • Reflects our organization’s mission of [insert your mission statement]

For each template, also provide 2-3 subject line options
